Recent Activity

Overview

The Recent Activity page provides a comprehensive view of all activities and changes that have occurred in your workspace. This powerful tool helps you track user actions, monitor changes to Fact Cards, and maintain an audit trail of workspace modifications.

Accessing Recent Activity

  1. Navigate to Settings in the main navigation
  2. Click on Recent Activity in the settings menu
  3. The page will load showing all recent activities in your workspace

Understanding the Interface

Filter Bar

The filter bar contains several filtering options to help you find specific activities:

Action Type Filter

  • Purpose: Filter by the type of action performed
  • Usage: Select specific action types from the dropdown
  • Options: Create, Update, Delete, Archive, etc.

Date Range Filter

  • Purpose: Filter activities by when they occurred
  • Usage: Click the date picker to select a specific time period
  • Options:
    • Today
    • Last 7 days
    • Last 30 days
    • Custom date range

Fact Card Type Filter

  • Purpose: Filter activities by the type of Fact Card involved
  • Usage: Select one or more Fact Card types from the dropdown
  • Options: Apps, Technologies, Capabilities, Processes, Information, etc.

User Filter

  • Purpose: Filter activities by who performed them
  • Usage: Select one or more users from the dropdown
  • Options: All users who have performed at least one activity in your workspace

Activity Table

The main content area displays a table of activities with the following information:

Table Columns

Who - User

  • Content: Who performed the action
  • Format: User name and avatar
  • Usage: Identify who made changes

Item - Fact Card

  • Content: Which Fact Card was affected
  • Format: Fact Card name with type icon
  • Usage: Identify what was changed

What - Details

  • Content: Additional information about the change
  • Format: Brief description of what changed
  • Usage: Understand the specific modifications

When - Timestamp

  • Content: When the activity occurred
  • Format: Date and time in your local timezone
  • Usage: Sort activities chronologically

Using Filters Effectively

Single Filter Usage

  1. Action Type: Use when investigating specific types of changes
  2. Date Range: Use when investigating recent issues or changes
  3. Fact Card Type: Use when focusing on specific business areas
  4. User Filter: Use when tracking specific user activity

Combined Filtering

You can combine multiple filters to create very specific searches:

Example 1: Find all App changes by a specific user in the last week

  • Set Date Range to "Last 7 days"
  • Set Fact Card Type to "Apps"
  • Set User to the specific user

Example 2: Find all deletions across all Fact Card types

  • Set Action Type to "Delete"
  • Leave other filters as "All"

Clearing Filters

  • Individual Filters: Click the "X" next to each filter selection
  • All Filters: Use the "Clear All" button to reset all filters
  • Default View: Removing all filters shows all recent activities

Common Use Cases

Monitoring User Activity

  1. Select a specific user from the User filter
  2. Review their recent actions
  3. Identify patterns or unusual activity
  4. Use Date Range to focus on specific time periods

Investigating Changes to Specific Fact Cards

  1. Use the Fact Card type filter to select the relevant type
  2. Optionally add a Date Range to focus on recent changes
  3. Review the changes to understand what was modified
  4. Use the User filter to see who made the changes

Compliance and Audit Reviews

  1. Set Date Range to the audit period
  2. Use Action Type filter to focus on specific actions (e.g., Deletes)
  3. Review all activities for compliance
  4. Export or document findings as needed

Troubleshooting Issues

  1. Set Date Range to when the issue occurred
  2. Use Fact Card Type to focus on affected areas
  3. Look for unusual patterns or unexpected changes
  4. Identify who made changes that might have caused issues

Best Practices

Regular Monitoring

  • Daily: Check recent activities for unusual patterns
  • Weekly: Review user activity and Fact Card changes
  • Monthly: Conduct comprehensive activity reviews

Filter Strategy

  • Start Broad: Begin with minimal filters to see the full picture
  • Narrow Down: Add filters progressively to focus your search
  • Document Patterns: Note common activity patterns for future reference

Performance Considerations

  • Large Workspaces: Use filters to reduce data load
  • Long Date Ranges: Consider breaking into smaller periods
  • Multiple Users: Filter by specific users when investigating issues

Troubleshooting

No Activities Showing

  1. Check Filters: Ensure filters aren't too restrictive
  2. Date Range: Verify the date range includes the expected period
  3. Permissions: Confirm you have access to view activities
  4. Workspace: Ensure you're in the correct workspace

Missing Activities

  1. Check Permissions: Verify you have access to all Fact Card types
  2. User Access: Ensure you can see activities from all users
  3. Date Range: Expand the date range if needed
  4. Filter Combinations: Check if filter combinations are too restrictive

Advanced Features

Real-time Updates

The page automatically updates when new activities occur, ensuring you always have the latest information.

Export Capabilities

While not shown in the current interface, the system supports exporting activity data for external analysis and reporting.
