Understanding View Collections
What are View Collections?
View Collections are organizational containers that group related views together. They help you:
- Organise Content: Group related views by theme, project, or purpose
- Improve Navigation: Create logical groupings for easier browsing
- Control Access: Manage who can see different collections
- Streamline Workflows: Work with related content in one place
Collection States
View Collections have two states:
- Draft: Only visible to admins and curators, not published to regular users
- Published: Visible to all users with appropriate permissions
Creating View Collections
Using the Add Button
- Navigate to the Views page
- Look for the Add button with a plus icon next to the Tag Groups tab.
- Click the button to open the "Add View Collection" dropdown
- Fill in the required information: Collection: Name for your collection
- Click Save to save your new collection
- Click on the Title to modify the headline
- Click on the Description to modify the descriptor for users
Collection Setup Best Practices
- Descriptive Titles: Use clear, descriptive names that indicate the collection's purpose
- Helpful Descriptions: Provide context about what users will find in the collection
- Logical Grouping: Group views that are related by theme, project, or function
- Consistent Naming: Use consistent naming conventions across collections
Managing View Collections
Inline Editing
Editing the Title
- Click directly on the collection title
- Type your new title
- Press Enter or click the Check button to save
- The change is applied immediately
Editing the Description
- Click on the description text below the title
- Type your new description
- Press Enter or click the Check button to save
- The change is applied immediately
Drag-and-Drop Sorting
- Enable Sorting: Ensure you have the necessary permissions (admin/curator)
- Grab a Tab: Click and hold on any collection tab
- Drag to New Position: Move the tab to your desired location
- Drop to Reorder: Release to place the collection in its new position
- Automatic Save: The new order is saved automatically
Sorting Tips
- Logical Order: Arrange collections in a logical order (e.g., most important first)
- User Experience: Consider how users will navigate through your collections
- Consistent Ordering: Maintain consistent ordering across different user sessions
Publishing Draft Collections
- Identify Draft Collections: Look for the "Draft Collection" indicator
- Click Publish Button: Find the publish button next to the collection title
Advanced Management
Manage Collections Interface
- Click the More Actions button
- Select Manage View Collections
- Access the full management interface with options to:
- Rename Collections: Change titles and descriptions
- Delete Collections: Remove collections (with confirmation)
Deleting Collections
- Open the Manage View Collections interface
- Find the collection you want to delete
- Click the Delete button
- Confirm the deletion in the popup dialog
- The collection and all its views are permanently removed
View Organization Within Collections
Adding Views to Collections
- Create New View: Use the Add View button to create a new view
- Select Collection: Choose which collections the view should belong to
View Display Options
Card View (Grid)
- Access: Click the grid icon in the collection header
- Display: Views shown as cards with thumbnails
- Best For: Visual browsing and quick overview
List View (Table)
- Access: Click the list icon in the collection header
- Display: Views shown in a detailed table format
- Best For: Detailed information and sorting
Permissions and Access Control
Draft Collections
- Visible To: Admins and curators only
- Purpose: Work-in-progress collections not ready for general users
- Indicators: Clear "Draft Collection" labels
Published Collections
- Visible To: All users with appropriate permissions
- Purpose: Collections ready for general use

Collection Organization

Troubleshooting
Common Issues
Can't Edit Collection Title
- Cause: Insufficient permissions or collection is published
- Solution: Check your permissions or contact an admin
Drag-and-Drop Not Working
- Cause: Missing permissions or browser compatibility
- Solution: Ensure you have manage permissions and try a different browser
Collection Not Visible
- Cause: Collection is in draft mode or you lack permissions
- Solution: Check if it's a draft collection or verify your access rights
Changes Not Saving
- Cause: Network issues or validation errors
- Solution: Check your internet connection and ensure required fields are filled
Support
- Check Permissions: Verify you have the necessary permissions
- Clear Cache: Try refreshing the page or clearing browser cache
